Which RFID Label Should I Use?

Answer three questions to narrow your choice:

  • What are you tagging? Cartons/pallets → 4"x6" general-purpose. Walmart apparel/items → ARC-certified Walmart roll. Metal or liquid asset → custom on-metal inlay.
  • What size printer? Industrial (4"–6") → 3" core / 8" OD. Desktop or mobile → 1" core / 5" OD (verify with printer spec).
  • Do you need to meet a retail mandate? Walmart → RFTT213134 (2.13"x1.34") or RFTT173071 (1.73"x0.71") with Auburn ARC submittal. Other → standard EPC Class 1 Gen 2 stock.

Calibration note: Even when an inlay is supported, every new printer + inlay + label-size combination should be calibrated once with a 10-label test run to confirm chip position falls inside the printer's encode window. Send the test run through your reader to confirm 100% encode and read success. Ribbon pairing for every row above: thermal transfer paper RFID stock runs cleanly with Premium Wax as the default and General Purpose Wax for budget runs. RFID Calibration & Troubleshooting FAQ

The answers below cover the most common encode and read failures on the printer families listed in the matrix above. Each is linked from the matching cell in the matrix.

Why does my printer skip or fail to encode a tag?

Most "void" or skip errors on desktop and mid-range RFID printers trace back to one of four things, in this order:

  • Wrong media profile, the printer is using a non-RFID label profile and is not pulsing the encoder. Reload the RFID media template that ships with the printer, or build one with the inlay's chip-position offset.
  • Inlay sitting outside the encode window, the chip is too far forward or back of the printer's antenna. Run the printer's "RFID Position Calibration" routine (Zebra: `rfid.calibrate`; SATO: AUTO-CALIB; Honeywell: TagAdjust) with a fresh roll.
  • RF power set too low, increase read/write power one notch at a time until you get 100% encode on a 50-label run.
  • Damaged ribbon transferring metal flakes onto the antenna, replace ribbon and re-run.

If all four pass and tags still void, the inlay batch may be out of spec, contact the CIS RFID team with the part number and lot code.

How do I calibrate chip position for a new inlay size?

Run a one-time calibration whenever you change inlay size, label size, or printer:

  • Load a fresh roll of the new RFID stock with the printer powered on.
  • Trigger the printer's RFID position calibration routine (menu name varies by brand, see the answer above).
  • The printer feeds 3–10 labels, locating the chip and storing the offset.
  • Print and encode 10 labels with your production template.
  • Read all 10 with your handheld or fixed reader. 100% reads = production-ready. Any miss = re-run calibration or move to the next finer power step.

Document the offset value in your printer's media profile so it survives firmware updates and operator swaps.

What is the encode window and why does it matter?

The "encode window" is the narrow physical zone, typically 6–20 mm long, where the printer's internal antenna can communicate with the chip during the print cycle. If the chip arrives before or after this window, the encode pulse misses and the printer voids the label.

Window size and position vary by printer family. Industrial Zebra (ZT411R/ZT421R), TSC T8000R, Honeywell PM45 RFID, and SATO CL4NX Plus RFID have wider, more forgiving windows. Desktops and mobile printers have narrow windows and demand tighter chip-position tolerance, which is why those rows in the matrix are marked ⚠️ for small inlays.

My reader reads some tags and misses others, what now?

Read failures downstream of a successful encode are almost always reader-side, not label-side. Work the problem in this order:

  • Antenna distance and orientation, UHF reads drop sharply past the reader's rated range. Verify the tag is in the antenna's main lobe.
  • Metal or liquid in the read field, even a small amount of either detunes the inlay. Confirm the labels under test aren't sitting on metal shelving or liquid product.
  • Tag density, if hundreds of tags are in the field at once, the reader may need session and Q value tuning.
  • Encode quality, re-read the same tag at the printer with a known-good handheld. If the printer-side read fails, return to encode troubleshooting.

For asset tracking on metal or near liquids, switch to an on-metal/liquid-tolerant inlay via Custom Quote.

Do I need to re-validate when I change ribbon or face stock?

Yes, any change to ribbon chemistry or face stock can shift either print quality or chip-position calibration:

  • Ribbon change, re-run 10 encoded labels and verify the printed barcode/2D scans at A grade. Resin and wax/resin require more heat than wax; bump darkness one step.
  • Face stock change (paper → synthetic, gloss → matte), chip placement inside the construction is usually identical for the same inlay, but liner thickness can shift the read window. Re-run chip-position calibration.
  • Inlay change inside the same size, full re-calibration required.

How do I troubleshoot a custom on-metal or liquid-tolerant inlay?

Custom inlays are validated against your reader, your asset substrate, and your read distance, there is no universal stock spec. Standard process:

  • CIS issues 50–100 sample tags built on the candidate on-metal or liquid-tolerant inlay.
  • You mount samples to the actual asset and test at the actual read distance and orientation in your facility.
  • If reads are below target, CIS adjusts inlay model, antenna size, or foam standoff thickness and re-issues samples.
  • Once a sample build hits 100% encode and read, the construction is locked and put into production.

Skip steps 2 and 3 and the production roll almost always under-performs. Start the process via Industrial Labels, Custom Quote.

Why does Auburn ARC reject my samples?

The most common Walmart ARC rejection reasons:

  • Wrong inlay model for the spec, EOS 300 U9 and EOS 241 are the CIS stock inlays approved for the 2.13" and 1.73" formats respectively. Substituting a generic Monza or Ucode build without ARC re-test will fail.
  • Print quality below grade C, the printed 2D barcode must scan cleanly even though the tag is read by RFID. Use Premium Wax ribbon and verify barcode grade.
  • Wrong sample count, Auburn expects 10–15 printed and encoded samples; under-shipping triggers a re-submit.
  • Damaged tags in transit, ship samples flat in a rigid mailer; folded or creased tags fail.

Mobile/handheld printers won't encode reliably, what to check?

Mobile printers (Zebra ZQ511R, ZQ521R) have the narrowest encode windows in the lineup and the tightest media-path tolerances. When encode rates drop below 100%:

  • Use the manufacturer-certified media list first, mobile printers are far less forgiving of non-listed RFID stock. The CIS 1" core / 5" OD rolls are designed for fixed printers; mobile applications usually need a smaller-OD spool.
  • Check battery level, RF power drops with battery voltage. Test on a fresh battery.
  • Operator handling, mobile units must sit still during the encode pulse; print-while-walking can miss the window.
  • Run a 50-label sample print before deploying to confirm encode rate at the device's actual operating temperature.
